A useful vendor report is compact, dated and independently checkable. It should help the recipient answer a narrow authorization or policy question using its own records.

Include the exact source

Record the product URL, capture date, seller wording and any invoice or license identifier you are lawfully entitled to share. Preserve screenshots without editing away context.

Ask a question the vendor can answer

For example: “Is this seller an authorized reseller?” or “Is this activation method permitted under your current licensing terms?” Avoid asking the vendor to confirm conclusions outside its own records.

Keep a clean timeline

Track when the report was sent, the ticket/reference number, later follow-ups, and whether the vendor asked for more information.
